How to use the WatchDOGS Sponsorship Template

HOW TO RECOGNIZE SPONSORS & GENERATE $$$ USING THE SPIRIT AD BANNERS:

If you and/or your PTA recruit sponsors to help fund the pizza party, t-shirts or other program costs, it’s easy to add sponsor recognition listings to your WatchDOGS sign-up sheet and/or website via SpiritAd banners. SpiritAd features can also be used to help generate additional revenue for your group.

Similar to the WATCHDOGS volunteer sign-up, simply copy the WatchDOGS Sponsor sign-up template and customize with your school name and sponsor categories.  Once you associate the Sponsor sign-up with your WATCHDOGS sign-ups or pages, the system will automatically update the banners to display new sponsor information – that you have approved by clicking “Approve” to accept newly submitted sponsor content.

PROCEEDS:  You keep 100% of sponsor $ paid directly to you – just add the Sponsor info to your banners free of charge using a Spirit Ad code.  You will also receive up to 90% of sponsor $ collected through Sagepoint.

Sagepoint will send you a check for proceeds associated with your event at the end of your sign-up period or more frequently depending on the amount accumulated.  In addition to helping cover costs, SpiritAd sponsor banners are a great way for WatchDOGS dads and other community partners to promote their businesses and special offers.  Excess funds can be used for future years or donated to other school groups or activities.

PARTNER WITH THE PTA: As an alternative to a WatchDOGS specific program, partner with your school PTA and use the same Sponsor banners for both groups.  Corresponding Spirit Ad sponsor banners can then be displayed on both WatchDOGS and PTA webpages, sign-up sheets, schedules and so on.

You will first Create a “Sponsor Sign-Up” and then associate the sponsors with your “WATCHDOGS Sign-Up”.

A. HOW TO COPY & CUSTOMIZE THE “SPONSOR SIGN-UP” FOR YOUR SCHOOL

1.      Go to www.sagepoint.com and login using the e-mail and password you created above.  Click on the following link: http://www.sagepoint.com/SampleWatchDOGSSponsorship

2.       Scroll to the bottom of the sign-up sheet and click on the orange “Copy  Event” button.

3.       You should now see a form titled  “Step 1: Basic Information”
a.       For the “Event Name:” and “Description” box contents replace “(Copy of) “Your School” “ with the name of your school, i.e. if you’re the Bledsoe Top Dog, the title should read “Bledsoe WatchDOGS Sponsorships”
b.      Go down to the “Location” field and enter your school name, i.e. Bledsoe Elementary.  To enter the school’s street address, click on the orange “Click Here
c.       Go down to the “Organizer” field: Check/enter your name, e-mail and phone number
d.      Leave all the other fields as is and click the orange “Continue” button.

4.       If you are happy with the default sponsorship settings, leave all the fields as is
a. If you would like to edit the number of sponsorships, the names, levels, prices, or benefits, click on the  pencil icon next to each level.
b. If you would like to combine this feature with an existing sponsorship program, add an explanation to the Description area in Step 1 and add notes to or edit each Sponsor level as needed.

5. Click the orange “Save Draft” button to save.

B.      HOW TO CREATE A CUSTOM LINK
This link can be used on flyers and handouts or added to Facebook or other group pages or websites.

1.   On your “Home” tab/dashboard, you should see “Your school name” WatchDOGS Sponsorships listed in the “Your Events” area in the center.  Click on your Sponsor sign-up, i.e. “Your school name” WatchDOGS Sponsorships” to view the event.

2.  Click on “Event Link” to create a custom name for your Sponsor sign-up, i.e. www.sagepoint.com/BledsoeWatchDOGSSponsorships

3. Scroll to the bottom and click “Close Invitation”

C. HOW TO DISPLAY SPONSOR INFO ON YOUR SIGN-UP

  1. Click the “Home” tab to display your dashboard.
  2. On your “Home” Tab/Dashboard, find your WATCHDOGS Sign-up, i.e. “Your school name” WatchDOGS and click on the  pencil icon to edit the sign-up.
    1. Scroll down to the “Fundraise” section.  In the “Fundraiser Code” box, enter the “Custom Name” you just created, i.e. “YourSchoolNameWatchDOGSSponsorship”
    2. Click the orange “Save Draft” button to save.

D.    HOW TO DISPLAY SPONSOR INFO ON ANOTHER WEBSITE
Sponsor banners can be added to almost any website that allows you to cut and paste a few lines of html (iframe) code.

1.       On your “Home” tab/dashboard, you should see “Your school name” WatchDOGS Sponsorships listed in the “Your Events” area in the center.  Click on your Sponsor sign-up, i.e. “Your school name” WatchDOGS Sponsorships” to view the event.

2.       Under “Tools for the Organizer, Ad Code”, click on “Show Sponsors on Your Website”.  You will see 4 options for displaying info on other pages.
a. Copy and paste the ad code option(s) you would like to use to your website.  If your group uses a template based site like sites.google.com, or weebly.com,  drag and drop a “Custom HTML” block to the desired location and paste the “Ad Code” in the block.

3. Save and Publish your updated website.

E.      HOW TO RECRUIT VIA E-MAIL

OPTION A:  RECRUIT WATCHDOGS & SPONSORS IN THE SAME E-MAIL

Before sending out or publicizing your WatchDOGS Sign-up:

  1. On your Home Tab, click on your Sponsor sign-up, i.e. “Your School WatchDOGS Sponsorships”, to view it.
    1. Open the “Ad Code” pop-up and copy Option 1, “Ad Link” url.
    2. In a new browser, go to www.sagepoint.com, and click the  “Edit” Icon to edit your WatchDOGS sign-up, i.e. “Your School Name WatchDOGS”
    3. In the “Description area add a sentence like, “If you would like to support this group by listing your business on our webpages, click the following link:”
    4. Paste the “Ad Link” into the “Description” area.
    5. Click “Save Draft” if you haven’t added e-mails yet or “Save & Send” if you’re ready to go. (Note: If you’ve already sent out the initial e-mail, no worries, you will have the option to send an “Update e-mail.”)

OPTION B: RECRUIT SPONSORS SEPARATELY

1.      On your Home Tab,  click the  “Edit” Icon to edit your Sponsor sign-up, i.e. “Your School Name WatchDOGS Sponsorships”

2.       Scroll to the bottom and click on “Edit Guests & Options”.  Cut and paste your e-mail address list (emails may be separated by commas or semi-colons) and click “Add”

3.       Click “Save & Send”,  this will send an e-mail to all your recipients asking them to sponsor.

F.      HOW TO SIGN UP SPONSORS IN PERSON

From an IPAD, PC, or other internet connected device

  1. Type the URL for your sign-up, i.e. www.sagepoint.com/YourSchoolNameWatchDOGSSponsorships to bring up the sponsor sign-up.
  2. Have sponsors, click on “Sponsor This Level” for the desired level, enter their basic information in the first and second pop-ups, and payment information in the third then click ”Submit”. 
  3. Those who would like to upload a logo or further customize their sponsor card can create a free Sagepoint account using the e-mail they entered for their sponsorship and login at anytime from their own computer.  The Sponsor sign-up will be listed on their “Home”/dashboard under “Invitations from Others.”  Click on the Sponsor sign-up to view it, then click on the maroon “You are Approved/Pending” to edit.

G.       HOW TO APPROVE SPONSORS
To insure that sponsor content and messaging is appropriate for your pages, you will approve or deny submissions prior to display.

  1. When a sponsorship is submitted, you will receive an e-mail notification.  Login to your Sagepoint account and click on your Sponsor sign-up to view it.  New submissions will display as “Pending”.  Click “Pending” to view the sponsor card.  Then click “Approve” or “Deny”.  The subsequent pop-up includes a standard thank you message and a field for you to add optional additional comments.  This is sent to the sponsor along with an automated receipt.
  2. Those Sponsors who are approved will be charged the $amount corresponding to the selected level.  Those sponsors who are “Denied” will not be charged.
  3. Once a sponsor is approved, he may choose to periodically edit his information to provide updated info, coupons, or special offers.  Each time an update is submitted, you will receive an e-mail notification to review and click approve.  There are no additional charges for these edits. Sponsors who are “Denied” may also choose to edit and resubmit their info per your guidelines.
